Altera Events Terms & Conditions
1. Booking & Deposit
1.1 A 50% non-refundable booking deposit is required to secure all event bookings.
1.2 Your event date is not confirmed until the deposit has been received.
1.3 The booking deposit secures your date and covers planning, administration, sourcing, supplier coordination, and reserved availability.
1.4 The remaining balance is due seven (7) days prior to your event, unless otherwise stated on your invoice.
1.5 Bookings made within seven (7) days of the event require full upfront payment.

2. Refundable Security Bond (Hire Items Only)
2.1 A refundable security bond (from $150 or higher depending on hire items) may be required for bookings that include hire equipment.
2.2 The bond will be refunded within 3–5 business days following collection and inspection of hire items, provided all items are returned:

Undamaged
-
Clean
-
Free from food, beverage, wax, staining or residue

Returned in full
2.3 If items are returned in an unacceptable condition, Altera Events reserves the right to retain part or all of the bond to cover cleaning, repair or replacement costs.
2.4 Lost, stolen or unreturned items will result in forfeiture of the bond and may incur additional replacement charges.
2.5 Certain specialty or high-value items (including but not limited to red carpet, premium décor, light-up letters, large structures or custom installations) may require an increased bond amount.

3. Cancellations
3.1 The 50% booking deposit is strictly non-refundable.
3.2 Cancellations made more than 30 days prior to the event will forfeit the booking deposit only.
3.3 Cancellations made within 14–30 days prior to the event may incur additional charges for materials ordered, custom items, labour completed or supplier commitments.
3.4 Cancellations made within 14 days of the event may require payment of the full invoice amount.
3.5 In exceptional circumstances, Altera Events may, at its sole discretion, offer a transfer of the booking to a new date within three (3) months, subject to availability.

4. Weather Policy
4.1 For outdoor events, the client is responsible for arranging a suitable backup location.
4.2 If severe weather conditions (including extreme heat, high winds, heavy rain, or official weather warnings) prevent safe installation, Altera Events will work with the client to relocate or reschedule where possible.
4.3 Weather-related refunds will be assessed at the discretion of Altera Events and may be adjusted to account for materials purchased, custom items, labour completed and administrative costs.
4.4 No refunds will be provided where weather conditions were reasonably foreseeable and no backup option was arranged.

5. Event Site & Access
5.1 The hirer is responsible for ensuring adequate space and safe conditions for installation.
5.2 Access for delivery and collection must be clear, safe and unobstructed.
5.3 Additional labour charges may apply where access is restricted, delayed or unsafe.

6. Breakages, Loss & Damage
6.1 A replacement fee will apply for any lost, stolen or damaged items.
6.2 Replacement costs are calculated fairly and transparently based on current market value.
6.3 In cases of excessive damage or missing items, Altera Events reserves the right to retain the full bond and pursue additional recovery if required.
6.4 Consumables (including paper goods such as napkins, straws and disposable items) do not need to be returned.

7. Client-Supplied Items
7.1 Where clients supply their own balloons, décor or materials, Altera Events accepts no responsibility for quality, performance or longevity of those items.

8. Liability
8.1 Altera Events will not be liable for injury, damage or loss arising from misuse of equipment or failure to follow safety instructions.
8.2 The hirer indemnifies Altera Events against claims arising from the use of hired equipment, except where liability cannot be excluded under Australian Consumer Law.
8.3 Liability is limited to the value of services provided under the booking, to the maximum extent permitted by law.

9. Third-Party Contractors
9.1 Where tables, tents or large structures require third-party installation or supervision, the hirer is responsible for engaging and managing those parties.
9.2 Altera Events accepts no responsibility for third-party services not directly provided by Altera Events.

10. Privacy
10.1 Altera Events stores client information securely and will not distribute personal information to third parties unless required by law.
​
11. Governing Law
11.1 This agreement is governed by the laws of Australia.
11.2 Any disputes shall be submitted to the exclusive jurisdiction of the courts of Australia.

12. Acceptance of Terms
Payment of the booking deposit constitutes acceptance of these Terms & Conditions.
